The public Ask Halcyra widget provides a product/enquiry route. If a visitor chooses to send the conversation to Halcyra, the supplied contact details and conversation are used to create an internal Owner CRM lead; it is not the customer support-ticket route. Authenticated customer support requests are raised from the dashboard Support area and are linked to the relevant customer account.
Halcyra's internal Owner CRM can connect an authorised Owner to a supported email and calendar service. The connection can be used to send sales or support emails, look up relevant correspondence on demand and create calendar events. Mail is not automatically synchronised into Halcyra. The connection is an internal Owner/CRM function and is separate from customer-firm tenant data.
Your firm is the data controller for the tenant data you upload to Halcyra — you decide whose contact details go in, and why. Halcyra acts as a data processor, handling that data only to do the job your firm has instructed: texting tenants to arrange a survey appointment, sending reminders, and recording the outcome.
Your firm is responsible for establishing its own lawful basis for contacting tenants (typically legitimate interests or a contractual/legal obligation tied to a tenancy or compliance requirement). Halcyra processes the data strictly under your instructions as set out in the Data Processing Agreement.
The AI component only assists with scheduling conversation — it is not used to make decisions about a tenancy, a survey outcome, or any other consequence for the tenant.
Tenants can ask your firm (or Halcyra directly, who will route the request to you) to access, correct, or erase their data. An admin can permanently erase a tenant's record from the job's detail panel in the dashboard at any time, which fulfils an erasure request without waiting on a support ticket.
