Reducing no-access in housing compliance.

A missed visit is an outcome, not an explanation. Improving access starts with understanding why an appointment did not happen and making the next step clear for both the resident and the visiting team.

Find the cause before repeating the visit.

Separate an unanswered booking request from a confirmed appointment where nobody was home. Check whether the contact number was usable, the appointment was understood, the visiting team attended and the resident had asked to rearrange. Those situations need different responses.

Keep a clear outcome and next action for each property. Avoid treating every missed visit as a refusal: a resident may have a work commitment, need support or not recognise the organisation contacting them.

Make the appointment understandable.

Explain who needs access, the purpose of the visit and how the resident can agree a suitable day and time. Use plain language and provide a recognisable contact route. Check contact details before starting another round of messages.

Record the agreed time and any rearrangement against the same job so the office and surveyor work from the same information. Appointment coordination supports the visit; it does not prove that a compliance inspection has been completed.

Keep a route to a person.

Routine booking difficulties should first be worked through within the permitted appointment rules. A resident’s request for a person, an unresolved hard conflict or an issue outside appointment booking needs a clear human handoff. Residents should be able to ask naturally for help rather than remember a special keyword.

Any legal access process, tenancy decision or safeguarding concern belongs with the responsible organisation and its established procedures. Booking software should not make those decisions.

Measure what actually improves.

Review confirmed appointments, completed visits, recorded no-access outcomes and rearrangements separately. Use comparable periods and explain how each figure is calculated. Track time spent coordinating appointments if you want to assess administration effort.

Look for recurring causes across programmes rather than assuming a single reminder will fix every failed visit. There is no universal reduction percentage that applies to every organisation.
